## The Best AI Meeting Note Takers for Finance: The Short Answer

A diligence call with a target's CFO is the most sensitive hour of a deal. The wrong AI notetaker leaves copies behind: a recording, a transcript and a searchable summary on a vendor's servers, outside your information barrier.

Securities law already expects you to control where that information goes:

- **Broker-dealers** must keep written policies "reasonably designed" to prevent the misuse of material, nonpublic information ([Exchange Act Section 15(g)](https://www.law.cornell.edu/uscode/text/15/78o)).
- **Registered advisers** carry the same duty ([Advisers Act Section 204A](https://www.law.cornell.edu/uscode/text/15/80b-4a)).

So the best AI meeting note taker for finance isn't the one with the slickest summary. It's the one whose copies your compliance team can account for.

### The ranking

We tested every app on this list hands-on, on real calls: Rogo Notes, Voibe Work, Microsoft 365 Copilot, Quill Meetings, Zoom, Affinity's Notetaker, Granola and Jamie.

Then we checked each vendor's pricing, security and help pages on October 27, 2026. Here's how they rank ([how we ranked](#how-we-ranked-these-ai-note-takers-for-finance)):

1. **Rogo Notes (formerly Arvo)**: best overall for banks, PE firms, RIAs and broker-dealers. No bot, MNPI flagging and SEC archiving built in. Sold by demo, no public price.
2. **Voibe Work**: best for privacy and value on Mac or Windows. No bot, no vendor copy, dictation included, $149 a year. You file notes in the archive yourself.
3. **Microsoft 365 Copilot**: automatic capture under Purview retention. $360 a year on top of Microsoft 365.
4. **Quill Meetings**: hedge funds that want transcription on the analyst's own computer.
5. **Zoom**: Zoom-first firms that need archiving and legal hold.
6. **Affinity Notetaker**: PE and VC teams on Affinity. A visible bot, bundled with the CRM at $2,300 a seat.
7. **Granola**: polished, but only Enterprise turns model training off by default.
8. **Jamie**: cross-border deals, with data kept in the EEA, Switzerland and the UK.

> **Key takeaway:** Rogo Notes (formerly Arvo) is the best AI meeting note taker for banks, PE firms and broker-dealers: built only for finance, no bot, MNPI flagging and SEC archiving built in, sold by demo. Voibe Work is the privacy and value pick: no vendor copy, dictation included, $149 a year. Tell everyone you're taking notes.

## Why Finance Teams Are Rethinking AI Notetakers

Bankers and investors aren't against AI notes. The friction is the copies those notes create outside the firm's control.

### 1. MNPI has to stay behind the wall

Section 15(g) and Section 204A require written policies against MNPI misuse. Your information barrier decides who sees what. Each of these is a new place MNPI lives:

- A vendor transcript with a share link.
- An AI chat that searches every meeting.
- A summary emailed to all attendees.

Each one has to fit inside the wall, or stay out of the meeting.

### 2. NDAs and expert-network calls set their own rules

- **Deal NDAs** limit who receives confidential information. Whether a notetaking vendor counts is for deal counsel to decide.
- **Expert-network calls:** your policy and the network's terms may bar recording. Check both first.

### 3. Training defaults vary more than the marketing suggests

- **Otter:** its privacy policy, effective June 16, 2026, says it trains "our proprietary AI technology on de-identified audio recordings and on transcriptions" ([Otter privacy policy](https://otter.ai/privacy-policy)).
- **Granola:** it "trains on your anonymized data" unless you opt out. Training is off by default only on Enterprise ([Granola security](https://www.granola.ai/security)).
- **Microsoft:** Copilot prompts and responses "aren't used to train foundation LLMs" ([Microsoft Learn](https://learn.microsoft.com/en-us/copilot/microsoft-365/microsoft-365-copilot-privacy)).
- **Zoom:** it doesn't use your audio, video or chat to train AI models ([Zoom terms](https://www.zoom.com/en/trust/terms/)).

### 4. Regulators fine firms for records kept in the wrong place

- **Fiscal 2024:** the SEC's off-channel sweep produced more than $600 million in penalties against more than 70 firms.
- **Since December 2021:** more than $2 billion against more than 100 firms ([SEC press release 2024-186](https://www.sec.gov/newsroom/press-releases/2024-186)).
- **January 13, 2025:** twelve more firms agreed to pay $63.1 million combined ([SEC press release 2025-6](https://www.sec.gov/newsroom/press-releases/2025-6)).
- **May 2026:** SEC Chair Paul Atkins said of the campaign: "We're not going to do that anymore" ([Financial Planning](https://www.financial-planning.com/news/secs-atkins-criticizes-off-channel-comms-enforcement)).

The penalties may be paused. The recordkeeping rules haven't changed.

### 5. The bot is in your counterparty's meeting too

A bot joins as a participant, so the target's CFO has to accept it. Some organizations block notetaker bots outright. And a bot invited by the other side records your words too.

Bot-free capture removes the visible guest, not the duty to tell people (see consent below).

## How the Better Note Takers Protect Deal Confidentiality

Each problem above has a design answer:

- **Fewer copies outside the firm.** Voibe Work deletes audio after processing and saves notes on your computer. Quill transcribes on the analyst's machine. Microsoft 365 keeps Teams files in your tenant.
- **No training.** Rogo, Voibe, Quill, Jamie, Fellow and Affinity say they never train on your meetings.
- **An archive path.** Rogo Notes is built for SEC archiving, with an immutable audit trail. Purview and Zoom Compliance Manager capture records. With Voibe Work and Quill, you export the note yourself.
- **No bot.** Rogo Notes, Voibe Work, Quill, Granola and Jamie capture the call on your own machine.
- **A consent reminder.** Voibe Work prompts you to tell everyone when recording starts.

**The trade-off:** a notetaker that keeps nothing on the vendor's side also sends nothing to your archive. Microsoft and Zoom flip that, at the price of a recording everyone sees.

## What to Check Before a Notetaker Joins a Deal Call

Ask these seven questions before any notetaker touches a live deal. Your compliance team will ask them too.

1. **Where do the audio, transcript and summary live, and for how long?** Your computer, your firm's tenant, or the vendor's cloud.
2. **Does the vendor train on it?** Read the privacy policy, not the homepage. Defaults can differ by plan.
3. **Does a bot join?** The counterparty has to accept it, and some firms block bots outright.
4. **How does the final note reach your archive?** Automatic capture, an integration, or a PDF you file yourself.
5. **Who can see it?** Share links, workspace search and cross-meeting AI chat must respect your information barrier.
6. **Does it cover in-person meetings?** Pitches often happen in a conference room, not on Zoom.
7. **What about the writing afterwards?** The IC memo, call note and follow-up email take most of the time.

> **Warning:** This page summarizes public rules and vendor documentation to help you compare tools. It is not legal or compliance advice. Your compliance team and counsel decide which tools are approved and what your firm must retain.

## How We Ranked These AI Note Takers for Finance

Voibe Work is the product we build, so here's exactly how this list was put together.

### What we tested and checked

- **Documentation:** each tool's pricing, security or privacy page and help center, on October 27, 2026, to confirm what we saw against what the vendor promises.
- **Hands-on:** we tested all eight apps on real calls: Rogo Notes, Voibe Work, Microsoft 365 Copilot, Quill, Zoom, Affinity's Notetaker, Granola and Jamie.

### The ranking criteria, in order

1. Fit with deal and fund work: MNPI controls, finance templates and a path to the firm's archive.
2. Copies left outside the firm after a confidential call (audio, transcript, summary, retention).
3. No training on your meetings, by default.
4. No bot in the counterparty's meeting, and coverage of phone and in-person meetings.
5. Price per seat per year, and the writing that follows a meeting.

### Why the top three rank where they do

- **Rogo Notes is first.** It's built only for finance firms and wins criterion 1: MNPI flagging, meeting restrictions, an immutable audit trail and SEC archiving. No bot, plus phone, in-person and expert calls. That closes the archive gap Voibe Work leaves.
- **Voibe Work is second.** It wins criteria 2 and 3 outright: no vendor-side copy at all, never trained on. Its $149 a year is published, with dictation for IC memos, on Mac and Windows. You file notes into the archive yourself.
- **Microsoft 365 Copilot is third.** The closest thing here to automatic capture, in your own tenant. But everyone sees the Teams recording, it covers only Teams meetings, and it costs $360 a year on top of Microsoft 365.

**Where Rogo Notes gives ground:** transcripts sit in its cloud for as long as your admin's retention setting says, there's no public price, and there's no dictation app.

Ratings for Microsoft, Zoom and Affinity are for their main mobile apps, not the notetaking features alone.

## Pricing: What Each AI Note Taker Costs per Seat per Year

Annual billing, per seat, for the plan a deal team or fund would actually buy, compared with Voibe Work's $149 a year.

**Rogo Notes** has no public price: it's sold by demo, so there's no delta to calculate. Voibe Work's $149 is published; Rogo's isn't.

| Tool and plan | Per seat per year | Voibe Work ($149) vs this | 10 seats per year |
| --- | --- | --- | --- |
| Rogo Notes (formerly Arvo) | No public price (demo) | n/a (no published price) | n/a |

| Fellow Business | $180 | $31 less (17.2%) | $1,800 |
| Zoom Workplace Pro | $169.92 | $20.92 less (12.3%) | $1,699.20 |

| Quill Teams (5-seat minimum) | $144 | $5 more (3.5%) | $1,440 |
| Microsoft Teams Premium (intelligent recap) | $120 | $29 more (24.2%) | $1,200 |

### Where Voibe Work isn't the cheapest

- **Teams Premium:** if you already pay for Microsoft 365, it adds intelligent recap for $120 a year, $29 less.
- **Zoom Workplace Pro:** $20.92 more, but it's a whole meeting platform your firm may already own.
- **Quill Teams:** $5 a seat cheaper, with a five-seat minimum ($720 a year).

### Over three years

- **Microsoft 365 Copilot:** $1,080 a seat. Voibe Work's $399 lifetime plan is $681 (63.1%) less.
- **Granola Enterprise:** $1,260 a seat. The lifetime plan is $861 (68.3%) less.
- **Break-even:** the lifetime plan is currently offered and pays for itself against Voibe Work annual in about 2.7 years.

## The Bundle: Deal-Call Notes and IC-Memo Dictation in One Plan

The call is half the job. Then comes the writing: the call note, the IC memo, the email to the deal team.

Most notetakers don't type into Word or Outlook. So people who write by voice add a dictation app, such as Wispr Flow Pro at $144 a year ([Wispr Flow pricing](https://wisprflow.ai/pricing), checked October 27, 2026).

### One plan instead of two

Every Voibe Work seat includes everything in Voibe Dictation, on Mac and Windows:

| Setup, per seat | Per year | Voibe Work ($149) vs this |
| --- | --- | --- |
| Jamie Plus ($288) + Wispr Flow Pro ($144) | $432 | $283 less (65.5%) |
| Quill Unlimited ($203.88) + Wispr Flow Pro ($144) | $347.88 | $198.88 less (57.2%) |
| Granola Business ($168) + Wispr Flow Pro ($144) | $312 | $163 less (52.2%) |
| **Voibe Work** (meeting notes + dictation) | **$149**, or $399 once | n/a |

Voibe Dictation alone is $99 a year. Voibe Work adds meeting notes for $50 more.

### What the dictation half does on a deal team

- **Dictionary:** target names, code names, tickers and acronyms like EBITDA or LTM shape transcription itself, not find-and-replace afterwards.
- **Memory:** a spoken trigger types preset text, like your confidentiality legend or a diligence-request paragraph.
- **Smart Formatting:** punctuation, capitalization, paragraphs and filler-word removal, without rewriting what you said.
- **Where it runs:** fully on-device with no internet on Apple Silicon Macs. Windows and Intel Macs use Voibe's zero-retention cloud. Meeting notes always use the zero-retention cloud.

## 1. Rogo Notes (formerly Arvo): Best Overall for Banks, PE Firms and Broker-Dealers

[Rogo Notes](https://rogo.com/platform/notes) is the meeting assistant Arvo built for finance, now part of Rogo's AI platform. Arvo calls it "The First AI Meeting Assistant for Finance".

**Best for:** investment banks, PE firms, RIAs and broker-dealers that want MNPI controls and SEC archiving inside the notetaker itself.

### Why it ranks first

- **Finance only.** "Arvo exclusively serves private equity firms, investment banks, RIAs, and broker-dealers" ([Arvo](https://www.arvohq.com/)).
- **No bot, more meeting types.** It "works seamlessly across Zoom, Teams, Google Meet, Webex, phone calls, and in-person meetings without intrusive bots". Its FAQ lists expert calls and earnings calls too.
- **Compliance built in.** MNPI flagging, policy-based meeting restrictions by role, team or user, and immutable audit trails. Arvo says it's "Built for SEC archiving and record-keeping requirements".
- **Retention you set.** "No persisted audio data." Admins choose zero, short-term or permanent transcript retention, per user.
- **Deal-team notes.** "Investment-grade summaries with key points, decisions, and action items", configurable templates, finance terminology recognition, and DealCloud and CRM integrations.
- **Training and security.** Rogo says "We never use your private data to train or update our models" ([Rogo security](https://rogo.com/security)). Arvo states SOC 2 Type II; Rogo also lists ISO 27001.

**Who's behind it:** Rogo acquired Arvo in September 2026; terms weren't disclosed ([Dealroom](https://dealroom.co/news/148503-rogo-buys-ai-meeting-assistant-arvo-to-feed-deal-teams-data/)). Rogo announced a $160M Series D and names Truist Securities, Nomura and Baird as customers.

### Watch out for

- **No public price.** It's sold by demo. Voibe Work's $149 a year is published; Rogo Notes' price isn't.
- **Mid-integration.** Arvo has been folding into Rogo since September 2026, so names, plans and contracts may change. Ask which product you're signing for.
- **Platforms not published.** Neither site says whether it runs as a desktop app, in the browser or on a phone. Ask in the demo.
- **A cloud service.** Transcripts and summaries stay in Rogo's cloud for as long as your retention setting says. Voibe Work saves notes on your computer instead.
- **No dictation app.** The IC memo still needs another tool.

**Price:** no public price; sold by demo.

**Rating:** none found. We found no App Store listing for Rogo Notes or Arvo.

## 2. Voibe Work: Best for Privacy and Value on Mac or Windows

Voibe Work, the meeting-notes plan from the app we build, is the privacy and value pick for confidential deal calls: no bot, no vendor-held copy, no training. It ranks second because it has no archive feed or MNPI controls.

**Best for:** deal teams, funds and corporate finance on Mac or Windows that can file a reviewed note themselves.

### Why it's the privacy and value pick

I'm biased, since we build it. But look at what's left after a diligence call:

- **No bot:** it captures from your Mac or Windows PC in Zoom, Microsoft Teams, Google Meet, Webex, Slack huddles or any other app. In-person pitches record through your computer's mic.
- **Audio:** processed by open-source models on zero-retention cloud providers and deleted as soon as processing completes.
- **Transcript and summary:** saved on your computer, not on Voibe's servers.
- **Training:** never. No OpenAI, Google, Anthropic or Microsoft model is in the audio path ([Voibe cloud privacy page](https://www.getvoibe.com/cloud-ai-privacy/)).
- **Chat with your meetings:** ask "what did the CFO say about working capital?" on the same zero-retention cloud. Nothing you ask is stored.

### Built for deal and fund meetings

- **Speaker labels:** each line gets a speaker and a time. Rename a speaker and the summary updates.
- **Long meetings, faster notes:** up to 4 hours each. Notes arrive 10 to 20 times faster than before the October 2026 update, by Voibe's own measurements.
- **Templates:** one per meeting type, including investment committee and client intake.
- **Export:** one-click copy and PDF, for your deal folder, DMS or archive.
- **Consent reminder:** Voibe reminds you to tell everyone when recording starts. You're responsible for the consent rules.

### Watch out for

- **Your archive.** Voibe holds nothing, so your archive holds nothing until you file the note. For broker-dealers that must capture automatically, that's a real gap.
- **No archive feed or CRM sync.** Notes reach Smarsh, Global Relay, Affinity or your DMS by copy or PDF export.
- **Not on most approved-vendor lists yet.** If your firm mandates specific tools, check first.
- **No phone app.** Calls on your cell and meetings away from your computer aren't covered.
- **No calendar integration.** Voibe offers to take notes when a call starts, but speaker names aren't pulled from the invite.
- **Needs internet.** Meeting audio is processed in the cloud, not on your computer.
- **No SOC 2 report.** Voibe's privacy is an architecture, not a certification. A BAA is available on request, but it's a contract, not a compliance status.

**Price:** $19 per seat per month, $149 per year, or $399 once, dictation included. That's $211 (58.6%) less per year than Microsoft 365 Copilot and $2,151 (93.5%) less than Affinity Scale. Voibe Work's price is published; Rogo Notes' isn't.

**Seats:** up to 10 in one checkout. Above 10, Enterprise adds team admin, central billing and invoicing, custom terms and a BAA on request.

[Start for free →](https://www.getvoibe.com/pricing)

**7-day free trial of every Voibe Work feature.** No credit card, no automatic charge, and a 30-day money-back guarantee if you buy. One seat covers Mac and Windows.

More detail: the [Voibe Work launch post](https://www.getvoibe.com/resources/voibe-work-meeting-notes-no-bot/) and the [October 2026 update](https://www.getvoibe.com/resources/voibe-free-plan-meeting-notes-windows/) (Windows, 4-hour meetings, faster notes).

## 3. Microsoft 365 Copilot: Best When Compliance Must Capture Every Meeting

Copilot wins on records: its meeting notes land in a tenant your firm already governs. Most banks run on Microsoft 365, and that's its strongest argument.

**Best for:** broker-dealers and banks that must retain every meeting automatically, when the meeting happens in Teams.

### Why it ranks here

- **Records in your tenant.** Teams recordings and transcripts are files in OneDrive or SharePoint, under Purview retention policies ([Microsoft Purview](https://learn.microsoft.com/en-us/purview/retention-policies-teams)). No other tool here matches that.
- **Copilot retention.** Copilot interactions have their own retention location, so records can govern AI output like email.
- **Training.** Microsoft says prompts, responses and data accessed through Microsoft Graph "aren't used to train foundation LLMs".
- **Two licences.** Intelligent recap (AI notes, tasks, summary) needs Copilot or Teams Premium; audio and video recaps need Copilot ([Microsoft support](https://support.microsoft.com/en-US/teams/meetings/meeting-recap-app-teams)). Teams Premium is $10 per user per month paid yearly ($120 a year), $29 (24.2%) less than Voibe Work.

### Watch out for

- **Everyone sees it.** Recaps need the Teams meeting recorded or transcribed.
- **Teams only.** A counterparty's Zoom call or an in-person pitch isn't covered.
- **Licence changes.** Teams Premium's features changed on April 1, 2026, so check your tenant's licences.

**Price:** $30 per user per month paid yearly ($360 a year) or $31.50 monthly, plus a qualifying Microsoft 365 plan ([Copilot pricing](https://www.microsoft.com/en-us/microsoft-365/copilot/enterprise)). That's $211 (58.6%) more than Voibe Work.

**Rating:** the Teams app rates [4.8/5 from 3,381,719 App Store ratings](https://apps.apple.com/us/app/id1113153706).

## 4. Quill Meetings: Best for Hedge Funds and Expert Calls

[Quill Meetings](https://www.quillmeetings.com/hedge-funds) records and transcribes on your computer, with no bot. Its hedge-fund page: "Capture expert calls, investment committees, and portfolio reviews locally without a bot in the meeting."

**Best for:** funds that want expert-call transcripts made on the analyst's machine, or inside the firm's own cloud.

### Why it ranks here

- **Local transcription.** It runs on the analyst's own machine. That's where Quill beats Voibe Work.
- **Enterprise in your infrastructure.** Data lives "in your AWS, Azure, private VPC, or on-premises deployment", with inference locked to endpoints you control ([Quill Enterprise](https://www.quillmeetings.com/enterprise)). Admins set retention and recording controls.
- **Training and security.** Quill says it never trains on your meetings and states SOC 2 Type II on its homepage.

### Watch out for

- The Mac app needs Apple Silicon.
- AI notes go to a cloud model unless you bring your own.
- There's no dictation app.

**Price:** local transcription is free. Paid plans, billed annually:

- **Lite:** $6.99 a month ($83.88 a year, 16 hours of AI notes a month), $65.12 less than Voibe Work.
- **Unlimited:** $16.99 a month ($203.88 a year), $54.88 (26.9%) more than Voibe Work.
- **Teams:** $12 per seat, five-seat minimum.

**Rating:** thin, at [4.6/5 from 10 App Store ratings](https://apps.apple.com/us/app/id6472243238). Hitting its limits? See our [Quill Meetings alternatives](https://www.getvoibe.com/resources/quill-meetings-alternatives/).

## 5. Zoom: Best for Zoom-First Firms That Need Legal Hold

Zoom's AI notes, now called ZoomMate and My Notes, make most sense for firms already on Zoom.

**Best for:** Zoom-first firms whose compliance team wants archiving and legal hold in the same console.

### Why it ranks here

- **Records.** [Zoom Compliance Manager](https://www.zoom.com/en/products/compliance-manager/), powered by Theta Lake, delivers "archiving, e-Discovery, legal hold, risk detection and data loss prevention directly from the Zoom admin console".
- **Cheap add-on.** Zoom's pricing page lists Compliance Manager at $6 a month. Third-party compliance partners are supported too.
- **Training.** Zoom's terms say it "does not use any of your audio, video, chat, screen sharing, attachments or other communications-like Customer Content" to train Zoom or third-party AI models.

### Watch out for

- Notes live in Zoom's cloud.
- Zoom's AI only sees Zoom meetings. A counterparty's Teams link sends you back to another tool.

**Price:** Workplace Pro lists My Notes, which "takes notes while you stay present", at $14.16 per user per month billed annually ($169.92 a year). That's $20.92 (12.3%) more than Voibe Work.

- **Free Basic plan:** summaries for three hosted meetings a month.
- **Full ZoomMate assistant:** a $20-a-month add-on.

**Rating:** the Zoom Workplace app rates [4.66/5 from 3,258,109 App Store ratings](https://apps.apple.com/us/app/id546505307).

## 6. Affinity Notetaker: Best for PE and VC Teams Running on Affinity

[Affinity](https://www.affinity.co/product/artificial-intelligence) is a CRM for private capital firms. Its Notetaker drops meeting summaries straight onto deal and contact records.

**Best for:** PE and VC firms already on Affinity that want every meeting logged against the deal record.

### Why it ranks here

- **Part of the CRM.** Included from Scale, with AI chat, the Ascend agents and an MCP server.
- **Training.** Affinity says "Your data is never shared or used to train models."
- **Retention setting.** Admins choose "Retain transcripts" or "Do not retain transcripts".

### Watch out for

- **A visible bot.** "This participant is a bot and will not interact with the other participants". It joins Zoom, Microsoft Teams and Google Meet ([Affinity help center](https://support.affinity.co/s/article/How-to-set-up-and-use-Affinity-Notetaker)).
- **A 7-day copy.** Either way, Affinity's transcription vendor keeps the transcript for 7 days before deleting it.
- **No in-person capture** in the help article.

**Price** (per user per year, billed annually):

- **Essential:** $2,000 without the Notetaker.
- **Scale:** $2,300, the whole CRM plus the Notetaker.
- **Advanced:** $2,700.

On notes alone, Voibe Work is $2,151 (93.5%) less. That's unfair to Affinity if you'd buy the CRM anyway.

**Rating:** the Affinity CRM app rates [3.26/5 from 38 App Store ratings](https://apps.apple.com/us/app/id1241506283).

## 7. Granola: Polished, but Use Enterprise for Deal Work

[Granola](https://www.getvoibe.com/resources/granola-pricing/) is the most polished bot-free notepad here. For deal work, the plan you buy matters.

**Best for:** VC and growth teams that buy Enterprise. On Business, turn training off on day one.

### Why it ranks here

- **Polish.** The best App Store rating on this list: [4.96/5 from 14,624 ratings](https://apps.apple.com/us/app/id6739429409).
- **Startups.** Its startup program offers a year of Business free.
- **Enterprise controls.** Training off by default, workspace-wide retention, HIPAA workspaces and the [Legal Holds API](https://docs.granola.ai/legal-holds), which stops deletion for people under a hold.

### Watch out for

- **Training on by default** on Basic and Business. Each user opts out individually.
- **Vendor cloud.** Notes sit in Granola's US-hosted AWS cloud. Summaries go through providers such as OpenAI and Anthropic.
- **Litigation.** It's defending a wiretap class action over its no-bot design ([the Granola lawsuit](https://www.getvoibe.com/resources/granola-lawsuit/)).

**Price:** Business is $14 per user per month, billed monthly only ($168 a year), $19 (11.3%) more than Voibe Work. Enterprise is $35 ($420 a year), $271 (64.5%) more.

Our [Is Granola safe?](https://www.getvoibe.com/resources/is-granola-safe/) review covers the rest.

## 8. Jamie: Best for Cross-Border Deals With EU and UK Counterparties

[Jamie](https://www.meetjamie.ai/security) captures meetings without a bot on Mac, Windows and iPhone, and keeps your data in Europe.

**Best for:** deal teams whose counterparties or compliance team want data kept in Europe.

### Why it ranks here

- **Data location.** "All data storage and processing stays within the EEA, Switzerland, and the UK".
- **Audio.** Meeting audio "is streamed for transcription and never stored".
- **Training.** Never, "not by us or any of the model providers".
- **Certifications.** ISO 27001; SOC 2 Type II is listed as pending.

### Watch out for

- Notes live in Jamie's cloud, not on your computer.
- Plus caps you at 20 notes a month.

**Price:**

- **Free:** 10 AI notes a month, with a 30-minute cap.
- **Plus:** $24 a month billed annually ($288 a year), $139 (48.3%) more than Voibe Work.
- **Pro:** $46 a month billed annually.

**Rating:** [4.89/5 from 257 App Store ratings](https://apps.apple.com/us/app/id6747801435).

## Other Note Takers Finance Teams Ask About

- **Fellow**: sells to the COO and compliance team, with bot or botless recording, redaction of "names, account numbers, NPI, or flagged terms", auto-delete and optional zero-day retention. Notes live in Fellow's cloud, and botless mode records "without notifying external participants", so disclosure is on you. Business is $180 a year, $31 (17.2%) more than Voibe Work; it rates [3.17/5 from 24 App Store ratings](https://apps.apple.com/us/app/id1477264742) ([Fellow compliance](https://fellow.ai/features/compliance)).
- **Otter**: the best known, and the one I'd keep off deal calls. It trains on de-identified recordings and transcriptions, and I found no opt-out. Business is $239.88 a year with a 4-hour meeting cap; HIPAA is an Enterprise add-on. See [Is Otter safe?](https://www.getvoibe.com/resources/is-otter-safe/).
- **Fireflies**: bot by default, with a bot-free desktop mode. Enterprise ($39 a month, annual only) adds private storage at your preferred location, custom retention and HIPAA. See [Is Fireflies safe?](https://www.getvoibe.com/resources/is-fireflies-safe/).
- **[Krisp](https://www.getvoibe.com/resources/krisp-alternatives/)**: bot-free notes from $96 a year (Core). On-device private transcription is listed under Enterprise, not Core.
- **Model ML Notetaker**: built for banking, PE and consulting, with prep notes, real-time transcripts and PowerPoint export. It states ISO 27001 and will "never train our model(s) on your data" ([Model ML security](https://modelml.com/security)). No public pricing; sold by demo.
- **Jump and Zocks**: built for wealth managers. See our [financial advisors list](https://www.getvoibe.com/resources/best-ai-meeting-note-taker-for-financial-advisors/).
- **Wispr Flow Notetaker**: no bot, bundled with dictation. Notes sit in Wispr's US cloud, and training is on by default on Free and Pro. See [Wispr Flow Notetaker vs Voibe Work](https://www.getvoibe.com/resources/wispr-flow-notetaker-vs-voibe-work/).
- **Read AI**: a bot by default; custom retention and HIPAA sit on Enterprise+ only. See [Read AI pricing](https://www.getvoibe.com/resources/read-ai-pricing/).
- **Fathom**: free, but a bot by default, and it trains on de-identified data unless you opt out. See [Fathom pricing](https://www.getvoibe.com/resources/fathom-pricing/).

Every bot-free option is in our [best no-bot meeting note takers](https://www.getvoibe.com/resources/best-no-bot-meeting-note-takers/). Transcribing recorded calls at volume? ## Recordkeeping: The Honest Catch for Broker-Dealers and Advisers

AI meeting notes can be business records. If yours are, they have to reach your firm's archive, whatever tool made them.

### Broker-dealers: Rule 17a-4 and FINRA Rule 4511

- **What to keep:** SEC Rule 17a-4(b)(4) requires "originals of all communications received and copies of all communications sent" relating to the business.
- **How long:** at least three years, the first two easily accessible.
- **Format:** a complete time-stamped audit trail, or "in a non-rewriteable, non-erasable format" ([Rule 17a-4](https://www.law.cornell.edu/cfr/text/17/240.17a-4)).
- **FINRA Rule 4511** requires members to make and preserve books and records under those rules.

### Advisers: Rule 204-2

- **What to keep:** written communications relating to "any recommendation made or proposed to be made and any advice given".
- **How long:** at least five years, the first two in an appropriate office ([Rule 204-2](https://www.law.cornell.edu/cfr/text/17/275.204-2)).
- **Open question:** whether a raw AI transcript or summary is a required record before anyone sends it. Your CCO decides.

### What that means for each tool

- **Rogo Notes:** built for SEC archiving and record-keeping, with immutable audit trails and retention set by your admin. Ask in the demo how notes reach your archive.
- **Microsoft 365 Copilot:** Teams recordings and transcripts sit in your tenant under Purview retention. Closest to automatic capture.
- **Zoom:** Compliance Manager adds archiving, eDiscovery and legal hold.
- **Granola Enterprise:** legal holds and workspace retention, but notes still live in Granola's cloud.
- **Voibe Work and Quill:** notes stay on your computer. You export the reviewed note into the archive.

**Voibe Work's catch, stated plainly:** it doesn't capture every meeting automatically in WORM storage. If your broker-dealer requires that, use Rogo Notes, the platforms your firm already archives, or a compliance-capture vendor.

If you may file a reviewed note, the PDF export is the filing step, and no vendor holds a copy.

> **Warning:** This section summarizes SEC and FINRA rules to help you compare tools. It is not legal or compliance advice. Your compliance team decides what your firm must retain and how.

## Recording Consent on Deal Calls, Including UK and EU Counterparties

No bot doesn't mean no disclosure. A quieter notetaker makes telling people _more_ important, not less.

Voibe Work reminds you to tell everyone when recording starts. You're responsible for following the law and your firm's policy.

### United States

Federal law allows recording when one party consents ([18 U.S.C. § 2511(2)(d)](https://www.law.cornell.edu/uscode/text/18/2511)). States vary. Per Justia's 50-state survey (checked October 8, 2026):

- **All-party consent:** California, Florida, Maryland, Massachusetts, New Hampshire and Pennsylvania. California applies its rule to calls between California and a one-party state.
- **Generally all-party:** Illinois and Washington.
- **It depends:** Connecticut is one-party for criminal liability but imposes civil liability for recording phone calls without all-party consent. Nevada is one-party in person but all-party for phone calls. Oregon is one-party for phone calls but all-party in person. Montana is an all-party "knowledge" state. Delaware is "arguably" all-party, and Michigan is "technically" all-party.
- **One-party:** most other states, including New York, New Jersey, Texas, North Carolina and DC.

Deal calls cross state lines constantly (a New York banker, a California target). Follow the strictest law.

### UK and EU counterparties

- **UK GDPR:** the ICO says people have "the right to be informed about the collection and use of their personal data", at the time you collect it ([ICO guidance](https://ico.org.uk/for-organisations/uk-gdpr-guidance-and-resources/individual-rights/the-right-to-be-informed/)).
- **EU GDPR:** Article 13 sets the same duty ([GDPR Article 13](https://gdpr-info.eu/art-13-gdpr/)).
- **FCA:** UK investment firms have recording duties under SYSC 10A, including records of relevant face-to-face client conversations ([FCA Handbook SYSC 10A](https://www.handbook.fca.org.uk/handbook/SYSC/10A/1.html)).

**In practice:** say you're taking AI notes, why, and how long you'll keep them.

### A disclosure line you can use

> "Before we start: I'm using an AI notetaker so I can focus on the discussion. It produces a summary for our deal file. [With Voibe Work: the audio is deleted after processing and the notes are saved on my computer, not the vendor's.] Is everyone comfortable with that?"

Adjust the bracketed line to what your tool actually does. Log the answer wherever your firm records consent.

> **Warning:** This is a summary for comparing tools, not legal advice. Check the recording law for every party's location, the NDA and your firm's written policy before recording any call.

## Frequently asked questions

### Is it safe to use an AI notetaker on calls involving MNPI?

An AI notetaker can be safe on MNPI calls if the notes stay inside your information barrier. Exchange Act Section 15(g) and Advisers Act Section 204A require written policies against MNPI misuse. Rogo Notes flags MNPI; Voibe Work saves notes on your computer; Microsoft 365 keeps Teams transcripts in your tenant. Ask compliance first.

### Do AI notetakers train on financial firms' meetings?

Some AI notetakers do by default. Otter trains on de-identified recordings and transcriptions; Granola trains on anonymized data on Basic and Business, not Enterprise. Rogo, Voibe, Quill, Jamie, Fellow and Affinity say they never train on your data. Microsoft and Zoom say they don't use meeting content to train AI.

### Can I use an AI notetaker on expert-network calls?

Only if your compliance policy and the expert network's terms allow it, because expert calls carry MNPI risk. If recording is allowed, Voibe Work (no vendor copy) or Quill Meetings (transcribes on the analyst's computer) limits where the transcript ends up. Tell the expert you're taking notes.

### Are AI meeting notes books and records for a broker-dealer or adviser?

AI meeting notes can be. SEC Rule 17a-4(b)(4) requires broker-dealers to keep business communications for three years, in WORM format or with an audit trail, and FINRA Rule 4511 applies it. Advisers keep advice communications five years under Rule 204-2. Your CCO decides whether raw transcripts count.

### Does Voibe Work archive meeting notes for SEC Rule 17a-4?

No. Voibe Work saves the transcript and summary on your computer, so nothing reaches your firm's archive automatically. You export a PDF or copy the summary into your archive, DMS or CRM. For archiving built in, use Rogo Notes, Microsoft 365 with Purview retention or Zoom with Compliance Manager.

### Which AI notetaker is best for SEC-regulated firms?

It depends on what your firm must retain. Rogo Notes (formerly Arvo) is built for SEC archiving, with MNPI flagging and audit trails. For automatic Teams or Zoom capture: Microsoft 365 Copilot with Purview or Zoom with Compliance Manager. Voibe Work keeps no vendor copy for $149 a year. No tool is SEC or FINRA compliant alone.

### Is there a HIPAA or SOC 2 meeting notetaker for financial firms?

Yes. Rogo Notes, Granola, Fellow, Fireflies, Otter, Krisp and Quill state SOC 2 Type II; Jamie and Model ML state ISO 27001. HIPAA support usually sits on Enterprise plans from Granola, Fireflies, Otter and Fellow. Voibe has no SOC 2 report and makes no HIPAA claim; a BAA is available on request.

### What is the best AI meeting note taker for finance?

Rogo Notes (formerly Arvo), for banks, PE firms, RIAs and broker-dealers: built only for finance, no bot, MNPI flagging and SEC archiving built in, sold by demo. Voibe Work ranks second as the privacy and value pick: no vendor copy, never trained on, dictation included, $149 a year or $399 once. You file notes yourself.

### What's the best AI notetaker for private equity and venture capital?

Rogo Notes for PE firms that want MNPI controls, DealCloud sync and SEC archiving, sold by demo. Voibe Work for confidential diligence and founder calls: no bot, no vendor copy, an investment committee template and IC-memo dictation for $149 a year. Affinity's Notetaker is a visible bot on the $2,300 Scale plan. Use Granola only on Enterprise.

### Can an AI notetaker record in-person pitch meetings?

Yes. Rogo Notes covers in-person meetings and phone calls. Voibe Work records in-person meetings through your Mac or Windows PC's microphone, processed and deleted like calls. Quill can record in person from your computer; Fellow and Granola have mobile apps. Microsoft 365 Copilot recaps cover only Teams meetings. Tell everyone in the room you're taking notes.

### Do I need consent to record a call with a UK or EU counterparty?

You need to tell them. UK GDPR and EU GDPR Article 13 give people the right to be informed when their data is collected, including why and for how long. In the US, California, Florida, Maryland, Massachusetts, New Hampshire and Pennsylvania require all-party consent. Voibe Work reminds you; you're responsible for the consent rules.

### How much does an AI note taker for finance cost?
