Wispr Flow vs Otter AI: Meeting Transcription or Dictation?

Short answer: Otter is built to transcribe meetings: a bot or its desktop app records the call and writes a transcript with speaker labels and a summary. Wispr Flow is built for dictation: you talk and it types into any app. Since August 2026, Wispr also takes meeting notes, with no bot.

So the old line, "Otter for meetings, Wispr Flow for writing," is only half true now. Here's how I'd pick:

• Choose Otter if meeting transcription is the whole job and you want speaker labels, a bot that joins from your calendar, integrations (Salesforce, HubSpot, Slack) and phone apps.
• Choose Wispr Flow if dictation is the main job. Its Notetaker covers basic meeting notes on Mac and Windows, but unlimited notes cost $312 a year on Growth + Notetaker, and notes live in Wispr's US cloud.
• Choose Voibe Work if you do both jobs and want one plan on Mac or Windows: dictation plus meeting notes with no bot in the call, audio deleted after processing, notes saved on your computer, never trained on. It's $140 a year, $103.96 (42.6%) less than Otter Pro plus Wispr Flow Pro ($243.96). Meeting notes need internet; Voibe reminds you to tell everyone you're taking notes, and consent rules are your responsibility.

Both are AI voice products that turn speech into text, so search engines surface them together. Until August 2026 they sat on opposite sides of the workflow. Now they overlap on meetings, and that's why the comparison is worth redoing.

Otter records other people speaking in a meeting. OtterPilot joins your Zoom, Google Meet or Teams call from your calendar, or Otter's Mac and Windows desktop app records the call without a bot. Otter produces a live transcript with speaker labels and an AI summary. You rarely speak into Otter directly; it documents a multi-party conversation.

Wispr Flow records you speaking, for dictation. You press a hotkey, say what you want written, and Wispr Flow transcribes it in the cloud, formats it for context (casual for Slack, professional for email), and pastes it into the active text field.

Then Wispr added a Notetaker. It launched on Mac on August 5, 2026 and on Windows on September 15, 2026. It records your microphone and system audio, so nothing joins the call, and it works with Zoom, Meet, Teams, Slack huddles, Discord and browser calls. Free has a weekly meeting limit, Pro has "higher limits," and unlimited notes need Growth + Notetaker at $33 a month or $26 a month billed annually ($312 a year), per Wispr's pricing page. Notes are stored in Wispr's US cloud with no opt-out, and Wispr's help center says model training on Notetaker and dictation content is on by default for Free and Pro.

A reasonable test still works. Finish this sentence: "I want this voice tool to capture ____." If the answer is "the meeting, with speaker labels and integrations," you want Otter. If it's "my writing," you want a dictation app such as Wispr Flow. If it's "both, and I'd rather not pay twice," you want one plan that does both, and the third-option section below prices it.

If your problem is "I want to type Slack messages with my voice," a $99.96 Otter subscription doesn't solve it. If it's "I need notes from this Zoom call," Wispr's Notetaker can now do that, Otter does it with more mature meeting features, and Voibe Work does it on Mac or Windows with no bot and the notes saved on your computer. Otter.ai is an AI meeting assistant founded in 2016 by Sam Liang (former Google Maps engineer) and Yun Fu, headquartered in Mountain View, California. Otter has raised approximately $63 million across multiple rounds from investors including Horizons Ventures and GGV Capital. The core product is a cloud-based meeting transcription service that captures live audio, produces a real-time multi-speaker transcript, and ships an AI summary plus action items after the meeting ends.

How it works: Otter captures meetings in one of four ways. First, OtterPilot — a meeting agent that integrates with your Google Calendar or Microsoft Outlook calendar and automatically joins scheduled Zoom, Google Meet, or Microsoft Teams calls as a participant named "Otter.ai". Second, the Otter Chrome extension — joins Zoom and Google Meet calls when you click "Start" from the extension popup. Third, the Otter desktop app for Mac and Windows (since October 2025), which records the call from your computer without a bot. Fourth, file import — upload an audio or video recording (mp3, mp4, m4a, wav) and Otter transcribes it asynchronously.

Platforms: Web app at otter.ai, a Mac and Windows desktop app for recording meetings, the Otter Chrome extension, and iOS and Android apps. What Otter doesn't have on any platform is dictation: it won't type into your other apps.

Pricing (verified at otter.ai/pricing on October 8, 2026; US prices, with lower promotional prices shown for India-issued cards):

• Basic (free): 300 transcription minutes per month, 30-minute cap per conversation, 3 file imports lifetime (not 3 per month — 3 ever).
• Pro: $16.99 / month billed monthly, or $8.33 / month billed annually ($99.96 / year). 1,200 minutes / month, 10 imports / month.
• Business: $30 / user / month billed monthly, or $19.99 / user / month billed annually ($239.88 / user / year). Unlimited transcription minutes with a 4-hour cap per meeting.
• Enterprise: Custom pricing with SSO, SCIM, domain capture, and OtterPilot for Sales. Public reporting suggests Enterprise contracts typically range from $15,000 to $35,000 per year.
• Student discount: Approximately 20% off Pro with a .edu email address.

Compliance: Otter holds SOC 2 Type II per the Otter security page. Otter's pricing page lists HIPAA compliance as an Enterprise add-on; Basic, Pro and Business don't include a BAA. On training, Otter's privacy policy lists "training our proprietary AI technology on de-identified audio recordings and on transcriptions" as a purpose, and we found no opt-out.

Notable legal exposure: Brewer v. Otter.ai, Inc. (N.D. Cal., filed August 15, 2025) alleged that OtterPilot recorded a private sales call without all-party consent and that the audio was used to train Otter's models. It was consolidated with three similar suits into In re Otter.AI Privacy Litigation. On August 13, 2026 the court granted Otter's motion to dismiss only in part: the federal wiretap (ECPA), California wiretap (CIPA), Illinois biometric (BIPA), unjust enrichment and UCL claims go forward, while the CFAA, California computer-access and Washington Privacy Act claims were dismissed with leave to amend. Wispr Flow is a real-time dictation app from Wispr (the company), founded by Tanay Kothari and Sahaj Garg. Wispr raised more than $81M before a $280M Series B at a $2B valuation in August 2026. The core product replaces your keyboard with your voice across any text field on your device.

How it works: The user installs the Wispr Flow desktop app, presses a system-wide hotkey (default: function key on Mac, Win+ key on Windows), speaks the text they want written, and releases. Wispr Flow transcribes the speech via cloud subprocessors (Baseten model hosting + OpenAI + Anthropic + Cerebras post-processing), applies context-aware formatting based on the active application (casual punctuation for Slack, professional for email, code-aware for IDEs), and pastes the result into the cursor location. The Auto-Cleanup feature removes filler words ("um", "like") and self-corrections automatically.

Platforms: Native macOS app (Apple Silicon and Intel), native Windows app (Electron), iOS app with a system-level voice keyboard, Android app with a Gboard-style keyboard, Chrome / Edge browser extension. No Linux, no iPad.

Notetaker: since August 5, 2026 on Mac and September 15, 2026 on Windows, Wispr Flow also records meetings from your microphone and system audio, with no bot. You get a second-pass transcript, speaker names from your calendar and the conversation, a Flow Summary (next steps, decisions, your to-dos) and Ask Wispr, a chat across your meetings. It connects to Google and Outlook calendars and can post a "using Wispr Notetaker" notice in the meeting chat. Transcripts and summaries are stored in Wispr's US cloud (AWS us-east-1) with no opt-out, and transcript retention defaults to "Never delete." Wispr's help center says the "Improve the model for everyone" setting, which covers Notetaker and dictation content, is on by default for Free and Pro, while its Windows launch post says meeting data is never used to train AI models. We found no PDF export or summary templates.

• Free: 2,000 words / week of dictation on desktop, plus "limited Notetaker access" with a weekly meeting limit Wispr doesn't quantify (recordings under five minutes don't count).

Compliance: Wispr states SOC 2 Type II and ISO 27001 on its Trust Center, with a BAA available (Notetaker switches off on BAA accounts), plus subprocessor disclosure published on wisprflow.ai/security (Baseten, OpenAI, Anthropic, Cerebras, AWS us-east-1). The March 2026 Delve fake-audit finding named Wispr Flow in a 99.8 %-boilerplate auditor concern — Wispr Flow transparently remediated by switching to A-LIGN as the auditor and Drata as the compliance platform, with a SafeBase trust center publishing the documentation. The honest comparison is one of feature scope, not feature parity. Most dimensions are won by whichever product is purpose-built for that capability.

Meeting transcription with speaker labels

Otter wins on maturity. OtterPilot joins Zoom / Google Meet / Microsoft Teams from your calendar, labels each speaker, captures shared slides, and produces an AI summary plus action items; its desktop app can record without a bot. Wispr Flow's Notetaker is newer: no bot, speaker names from your calendar and context, a Flow Summary and Ask Wispr chat, on Mac and Windows, but unlimited use costs $312 a year. On Mac and Windows, Voibe Work captures meetings with no bot in the call (Zoom, Teams, Meet, Webex, Slack huddles), deletes the meeting audio after processing, saves the notes on your computer, and adds summary templates per meeting type and PDF export; it doesn't list speaker labels.

Real-time dictation across any app

Wispr Flow wins. The system-wide hotkey works in any text field on Mac, Windows, iOS, and Android — Slack, Gmail, Cursor, VS Code, ChatGPT, Apple Notes, Linear, anywhere. Otter does not offer system-wide dictation; the closest workflow is talking into the Otter mobile app and copy-pasting the transcript, which is materially worse than a hotkey-driven flow.

Native macOS desktop experience

Wispr Flow wins for dictation. Wispr Flow ships a native macOS app for Apple Silicon and Intel with a system-wide hotkey. Otter now has a Mac and Windows desktop app too, but it records meetings; it doesn't type into other apps. For a tool that lives in the menu bar and writes wherever your cursor is, Wispr Flow (or Voibe) qualifies and Otter doesn't.

Mobile experience

Tie, with different focus. Otter's iOS and Android apps optimize for recording meetings, lectures, and conversations on the go — push a button, capture audio, transcript appears. Wispr Flow's iOS and Android apps optimize for dictation — a system-level voice keyboard that types into any app on the phone. Pick by what you want to do on mobile.

Pricing per use case

Otter wins on Pro Annual sticker. Otter Pro Annual ($99.96 / year) is 31% cheaper than Wispr Flow Pro Annual ($144 / year). But paying $99.96 for Otter doesn't give you dictation, and Wispr Pro's Notetaker has limits Wispr doesn't publish; unlimited notes cost $312 a year. Compliance and regulated work

Wispr Flow wins on published certifications. Wispr states SOC 2 Type II and ISO 27001 and offers a BAA, but its Notetaker is disabled on BAA accounts, so a healthcare team can't use Wispr for meetings under a BAA. Otter publishes SOC 2 Type II and lists HIPAA as an Enterprise add-on. Voibe doesn't claim SOC 2 or ISO 27001; a BAA is available on request, and its privacy is an architecture claim (on-device dictation on Apple Silicon, zero retention in the cloud, meeting notes saved on your computer).

Privacy posture: where the audio and the notes go

Neither is offline. Both are cloud architectures. Otter stores recordings and transcripts on its servers and trains its own models on de-identified copies by default, with no opt-out found. Wispr Flow routes dictation through its subprocessors and stores Notetaker transcripts and summaries in its US cloud with no opt-out; training is on by default on Free and Pro. Both have legal or audit history to flag: Otter's class action, whose core claims survived a motion to dismiss in August 2026, and Wispr's March 2026 Delve audit finding (since remediated). Voibe Work is the outlier on storage: meeting audio is deleted after processing, notes are saved on your computer, and nothing is trained on. Integrations and team workflows

Otter has more. Otter integrates with Slack, HubSpot, Salesforce, Notion, Microsoft 365, Google Workspace, Zoom, Google Meet, Teams, Zapier, and others — purpose-built for sharing meeting transcripts across organizational tools. Wispr Flow's integrations are narrower because the dictation use case doesn't require post-meeting distribution — the integration surface is the active text field of whatever app you're already in.

The pricing math depends on whether you genuinely need one product, the other, or both. Run the numbers for each scenario.

• Stacking both is $731.88 over 3 years. If both workflows matter to you, that's the line item. Swap the dictation half for Voibe Dictation lifetime and Otter Pro + Voibe is $448.88 over 3 years, a $283 saving, with dictation that runs on-device on Apple Silicon Macs. • Offline / on-device is required → Neither cloud product qualifies. For Mac dictation specifically, Voibe ($149 lifetime) runs on-device on Apple Silicon Macs and is the closest offline competitor to Wispr Flow. Voibe Work's meeting notes are not offline: they run on zero-retention cloud providers and need an internet connection. • Press / blog coverage: Multiple mainstream tech publications and indie blog reviews. The Context Awareness screenshot-capture feature has been widely discussed.

The honest read: Otter has more total third-party signal because of longer time in market. Wispr Flow has more recent signal that's more mixed. Otter is an AI meeting transcription assistant that joins Zoom / Google Meet / Microsoft Teams calls and produces transcripts with speaker labels plus AI summaries. Wispr Flow is a real-time dictation app that replaces your typing with speech-to-text inside any application on Mac, Windows, iOS, and Android. They share the substrate (speech-to-text) but serve different workflows — Otter for meetings, Wispr Flow for writing.

Are Otter and Wispr Flow the same kind of product?
Not at the core. Otter is a meeting agent and notes platform; Wispr Flow is a dictation input method that added a bot-free Notetaker in August 2026. They now overlap on meeting notes, but Otter still has no dictation, and Wispr Flow's meeting features are newer and priced as an add-on for unlimited use.

Can I use Otter for real-time dictation?
Not really. Otter's mobile apps support voice notes, but there is no system-wide hotkey that types into the app you're currently using on your Mac or Windows desktop. The workflow Otter optimizes for is post-hoc — record a meeting, get a transcript later. For active dictation into Slack / Gmail / Cursor, you need Wispr Flow or an alternative dictation tool.

Can I use Wispr Flow for meeting transcription?
Yes. Wispr Flow's Notetaker records meetings on Mac (since August 5, 2026) and Windows (since September 15, 2026) without a bot. Free has a weekly limit and Pro "higher limits," neither quantified; unlimited needs Growth + Notetaker at $312 a year. Notes are stored in Wispr's US cloud, and training is on by default on Free and Pro. Otter is still the more established meeting platform, with OtterPilot auto-join, speaker labels and integrations. On Mac or Windows, Voibe Work is the third option: no bot, audio deleted after processing, notes saved on your computer, dictation included, $140 a year.

Is Otter cheaper than Wispr Flow?
On Pro Annual sticker price, Otter is 31% cheaper ($99.96 / yr vs $144 / yr). On Pro Monthly, Wispr Flow is slightly cheaper ($15 / mo vs $16.99 / mo). But Otter has no dictation, and Wispr's unlimited Notetaker costs $312 a year. If you need both jobs, Otter Pro + Wispr Flow Pro is $243.96 a year, and Voibe Work is $140, $103.96 (42.6%) less.

Do Otter and Wispr Flow have free tiers?
Both yes, with very different structures. Otter Basic is 300 minutes / month with a 30-minute cap per conversation and 3 file imports lifetime (not 3 per month — 3 ever). Wispr Flow Basic is 2,000 words / week on desktop recurring (5,000 hard cap) plus 1,000 words / week on iOS. Wispr Flow's free tier is more usable for sustained daily light dictation; Otter's free tier is more usable for occasional meeting recording.

Is Otter or Wispr Flow safer for sensitive work?
Both are cloud architectures, and both train on your content by default (Otter on de-identified recordings and transcripts; Wispr on Free and Pro). Wispr states SOC 2 Type II and ISO 27001 and offers a BAA, but disables Notetaker on BAA accounts. Otter has SOC 2 Type II and is a defendant in In re Otter.AI Privacy Litigation, whose ECPA, CIPA and BIPA claims survived a motion to dismiss in August 2026. Is Otter HIPAA compliant?
Otter publishes SOC 2 Type II and lists HIPAA compliance as an Enterprise add-on; Basic, Pro and Business accounts don't include a BAA. Healthcare organizations should confirm BAA terms with Otter sales before any PHI goes through it.

Does Otter have a Mac app?
Yes. Since October 2025 Otter has a Mac and Windows desktop app that records meetings without a bot. It doesn't dictate into other apps; for a menu-bar tool that types where your cursor is, you need Wispr Flow or Voibe.

Does Wispr Flow work on Windows?
Yes. Wispr Flow ships a native Windows app (Electron-based) alongside the native macOS app. There is no Linux desktop app — for Linux dictation, Voicy or Handy are the options.

Otter is the better choice when meeting transcription is the whole job. Its system-wide hotkey across Mac, Windows, iOS and Android replaces typing, Pro is $144 a year, and its Notetaker now handles meeting notes with no bot, on Mac and Windows. If you need speaker names or calendar integration in your meeting notes, it's the stronger bundle. Watch three things: unlimited notes cost $312 a year, notes live in Wispr's US cloud, and training is on by default on Free and Pro. The 2.7 / 5 Trustpilot rating with post-trial reliability complaints is worth testing against during the trial.

If you do both jobs, on Mac or Windows, Voibe Work is the one I'd pick. Voibe Work is a meeting note taker and a dictation app in one plan: no bot in the call, meeting audio deleted after processing, transcript and summary saved on your computer, never used to train AI. It's $140 a year, $103.96 (42.6%) less than Otter Pro + Wispr Flow Pro and $172 (55.1%) less than Wispr's unlimited Notetaker, or $349 once. The dictation half runs on Mac and Windows, with Hands-Free Mode, Dictionary and Developer Mode for Cursor, VS Code and Windsurf everywhere, plus Live Dictation on Mac and on-device mode on Apple Silicon Macs. The limits are real: meeting notes need internet, speaker labels aren't listed, and there's no phone app. Voibe reminds you to tell everyone you're taking notes; recording-consent rules are your responsibility.

If you only need dictation, Voibe Dictation is $75 a year or $149 lifetime, $283 (66%) less than three years of Wispr Flow Pro Annual. If you need Otter's meeting features and dictation, Otter Pro + Voibe Dictation lifetime is $448.88 over 3 years, $283 less than Otter + Wispr Flow.
