Fathom Pricing: The Free Plan Is Real. The Catch Is Call Six
Fathom pricing decoded: Free really is $0, but advanced AI summaries stop after 5 calls a month, teams need 2 seats, and the “25%+” discount is 20% on Premium.
Meetings eat the week. Microsoft's 2023 Work Trend Index found people are in 3x more Teams meetings and calls per week than in February 2020, and they rank "inefficient meetings" as their number one productivity disruptor. No wonder you're pricing a notetaker.
Here's the short answer: Fathom costs $0 on Free, $20 a month for Premium, or $16 a month billed annually ($192 a year). Team is $19 a seat a month ($15 annual) and Business is $34 ($25 annual), both with a 2-seat minimum. Enterprise is a custom quote. That's from Fathom's pricing page, checked October 8, 2026.
And yes, Fathom Free is genuinely generous: unlimited recordings and transcripts, kept until you delete them. The catch, per Fathom's own help center, is call six. Advanced AI summaries cover only your first 5 calls each month; after that, Free gets the General/Enhanced template only.
The paid tiers have catches of their own:
- The "25%+" annual saving isn't 25% on two of three plans. It's 20.0% on Premium, 21.1% on Team and 26.5% on Business.
- Team and Business start at 2 seats, so their real entry price is $360 and $600 a year.
Where does Voibe Work fit? It's the meeting-notes plan of Voibe, the app we build, and it costs $140 a year. Fathom Free beats it on price: $0 against $140, and Voibe has no free plan, just a 7-day trial with no credit card.
Against Fathom's paid plans, it flips. Voibe Work is $52 (27.1%) less than Premium annual, and it includes a dictation app. Want the wider field? See Fathom alternatives. Wondering where your recordings go? Read Is Fathom safe?
How we tested
- Hands-on: we tested Fathom, Voibe Work, Otter, Granola and Wispr Flow ourselves, and the findings here are based on our own tests.
- Vendor docs: we checked Fathom's pricing page, help center, Terms of Service and privacy policy on October 8, 2026.
- The maths: we worked out what every Fathom plan costs over one and three years, per seat and at the seat minimum.
- The comparison: we set Fathom against Voibe Work, Otter, Granola and Wispr Flow at their list prices, checked the same week.
Key Takeaways
| Fathom plan | Billed monthly | Billed annually | Who it's for | The catch |
|---|---|---|---|---|
| Free | $0 | $0 | Individuals, unlimited recordings | Advanced summaries on 5 calls a month; no AI action items or follow-up emails |
| Premium | $20/mo ($240/yr) | $16/mo ($192/yr) | Individuals who want full AI on every call | 20.0% annual discount, not "25%+" |
| Team | $19/seat/mo | $15/seat/mo ($180/yr) | Teams sharing calls, playlists and search | 2-seat minimum: $360/yr to start |
| Business | $34/seat/mo | $25/seat/mo ($300/yr) | Sales teams needing CRM field sync and scorecards | 2-seat minimum: $600/yr to start |
| Enterprise | Custom ("Talk to sales") | SSO, SCIM, custom retention | Signed BAA and auto-delete only here | |
| Voibe Work (for comparison) | $14/mo | $140/yr, or $349 lifetime | No-bot meeting notes + dictation, Mac and Windows | No free plan; 7-day trial, no card |
Key Takeaway
Fathom Free is $0 with unlimited recordings, transcripts and storage, but advanced AI summaries cover only your first 5 calls a month. Premium is $20/month or $192/year. Team ($19, or $15 annual) and Business ($34, or $25 annual) are per seat with a 2-seat minimum. Annual billing saves 20.0% to 26.5%, not the "25%+" the toggle promises.
How Much Is Fathom? Every Plan and Price

Fathom sells five plans: Free, Premium (for individuals), Team, Business and Enterprise. Below are the US list prices per user from Fathom's pricing page, checked October 8, 2026.
One housekeeping note: Fathom moved from fathom.video to fathom.ai. The old address redirects, and the help center still lives at help.fathom.video.
| Plan | Billed monthly | Billed annually | Per seat per year (annual) | Seat minimum | Annual saving |
|---|---|---|---|---|---|
| Free | $0 | $0 | $0 | None | n/a |
| Premium | $20/user/mo | $16/user/mo | $192 | None | $48 a year (20.0%) |
| Team | $19/user/mo | $15/user/mo | $180 | 2 users | $48 a seat (21.1%) |
| Business | $34/user/mo | $25/user/mo | $300 | 2 users | $108 a seat (26.5%) |
| Enterprise | Not published ("Talk to sales") | Custom | n/a | ||
What each paid tier adds
- Premium ($20, or $16 annual): advanced call summaries on every call, AI-generated action items, AI follow-up emails, custom AI summaries, "Ask Fathom" (a chat assistant over your calls), a custom bot name and the option to turn off the in-meeting banner.
- Team ($19, or $15 annual per seat): global search across the team's calls, shared playlists of highlights, comments, folders and keyword alerts, trackers and a customer view. Account-wide Ask Fathom is unlimited for "My Calls" with a limited lookback for "Team Calls".
- Business ($34, or $25 annual per seat): "CRM field sync, updating records after meetings automatically", a Deal View, coaching metrics and AI scorecards, and unlimited CRM syncs. Fathom's Launch Assist onboarding is a paid extra on this tier.
- Enterprise (custom): SSO and SCIM provisioning, custom data retention programs, organization-wide security controls, a dedicated success manager, and the only tier with "HIPAA: signed BAA" ticked.
The plans you may have seen under other names
Team and Business used to be called Team Edition Standard and Team Edition Pro. Fathom's help center says it renamed them in August 2025.
Older write-ups also mention free seats on team plans. Those are gone: Fathom's help center now says "For our new plans (Team and Business), free seats are no longer available".
The annual discount is smaller than the toggle says
Fathom's billing toggle promises annual billing will "save 25%+". Only Business clears that bar:
- Premium: $20 down to $16 a month. That's 20.0% off, or $48 a year ($240 billed monthly vs $192).
- Team: $19 down to $15 a seat a month. That's 21.1% off, or $48 a seat a year ($228 vs $180).
- Business: $34 down to $25 a seat a month. That's 26.5% off, or $108 a seat a year ($408 vs $300).
Where Fathom records
Fathom records on Mac and Windows computers and supports Zoom, Google Meet and Microsoft Teams. Slack huddles work through bot-free capture only.
Webex is the gap: we found no mention of it in Fathom's help-center list of supported meeting platforms.
Is Fathom Free? What the Free Plan Includes (and the 5-Call Limit)
Yes, Fathom is free, and the free plan has no time limit. Fathom's pricing page lists Free at $0 "forever", with unlimited recordings, unlimited transcriptions in 38 languages, unlimited storage and instant AI call summaries.
The limit sits on the AI layer, not on recording. Fathom's "Free vs. Premium" help article (edited June 4, 2026) says Free includes "Advanced summaries for your first 5 calls each month (after that, only the General/Enhanced template will be available)".
What "advanced summaries" means
Every Fathom call gets a summary. On Free, your first 5 calls each month can use the advanced formats, the AI summaries beyond the default template. From call six, you're back on General/Enhanced.
Fathom spells out what Premium adds: "All the AI perks: AI Action Items, AI Follow-Up Emails, custom AI summaries, and the 'Ask Fathom' feature." Its pricing table marks the Free plan like this:
- "Limited use": advanced summaries, single-call Ask Fathom and account-wide Ask Fathom.
- Not included: AI action items and AI follow-up emails.
What Fathom Free gives you
- Unlimited recordings and transcripts. The pricing page lists no monthly minute cap.
- Unlimited storage, kept indefinitely. Fathom's help center says "Both Free and Premium users can store unlimited recordings in Fathom, forever", until you delete them.
- Clips, playlists and search across calls, plus MP4 downloads of your recordings.
- Bot or bot-free capture. A bot joins by default; bot-free capture is a Mac beta that every plan, Free included, can use.
- CRM sync for up to 3 users per email domain (HubSpot, Salesforce, Close) and personal-use Zapier.
When the free plan stops being enough
The 5-call limit decides it. Take one or two calls a week? Fathom Free covers almost everything and costs nothing.
Take 5 calls before Tuesday and want action items and follow-up emails on each one? You'll hit the limit in the first week of the month, and Premium is $192 a year.
Try before you decide. Fathom's help center mentions a Premium free preview that "ends (30 days after sign-up)", so a new account gets the full AI layer first.
How this compares with Voibe Work
Voibe has no free plan. Voibe Work is $14 a month, $140 a year or $349 lifetime, with a 7-day free trial of every feature, no credit card and no automatic charge.
If $0 is your hard requirement, Fathom Free is the better deal. We'd tell a friend the same.
Fathom's Hidden Costs: Seat Minimums, CRM Caps and Enterprise-Only Privacy
Fathom's headline prices are honest. What they leave out is where your bill, or your plan, catches you:
- A 2-seat minimum on Team and Business.
- A 3-user cap on CRM sync below Business.
- Privacy controls that start at Enterprise.
- A refund promise that Fathom's own terms contradict.
Add two practical snags, cancellation and blocked bots, and you've got the full list.
1. The 2-seat minimum doubles the entry price
Team and Business both say "(2 user min)". If you're solo and want Team features, you pay for two seats:
- Team: 2 × $180 = $360 a year on annual billing, or 2 × $19 × 12 = $456 a year on monthly billing ($38 a month).
- Business: 2 × $300 = $600 a year on annual billing, or 2 × $34 × 12 = $816 a year on monthly billing ($68 a month).
- Premium: no minimum, $192 a year for one person.
For comparison, two seats of Voibe Work cost $280 a year. That's $80 (22.2%) less than Fathom Team's 2-seat minimum and $320 (53.3%) less than Business's. One seat of Voibe Work is $140.
2. CRM sync is capped below Business
Fathom's pricing table caps "CRM syncs" (pushing summaries and notes into HubSpot, Salesforce or Close) at "Max 3 users/ domain" on Free, Premium and Team. Unlimited CRM sync and "CRM Field sync" (updating CRM fields after each meeting) are Business and Enterprise only.
So a 5-person sales team on Team that wants every rep's calls in the CRM gets pushed to Business: $1,500 a year for 5 seats instead of $900. That's $600 more.
3. Privacy and compliance controls are Enterprise only
- Auto-delete: Fathom's help center says it keeps recordings "indefinitely (or until you manually delete them)". Automatic retention policies are "available only for users of the Enterprise Plan" and "isn't self-serve yet".
- Signed BAA: Fathom's Terms of Service incorporate a click-through Business Associate Agreement for customers covered by HIPAA, but the pricing table ticks "HIPAA: signed BAA" on Enterprise only.
- SSO and SCIM: Enterprise only.
4. "90 day guarantee" vs "All fees are non-refundable"
Every paid card on Fathom's pricing page shows a "90 day guarantee". Fathom's Terms of Service ("Last Updated: March 4, 2026") say "All fees are non-refundable" and that subscriptions "automatically renew".
The pricing page doesn't say what the guarantee covers. If it matters to you, get the terms from Fathom in writing before you pay.
5. Cancelling a team plan is not self-serve
Fathom's help center splits it by plan:
- Premium: downgrade or cancel in Settings, and the plan ends at the end of the billing period. To cancel immediately, email help@fathom.video.
- Team plans: you have to contact success@fathom.video.
6. The bot can be turned away
Fathom's default capture is a bot that joins the call. Hosts and institutions can block bots, and some already do:
- Case Western Reserve University blocked third-party AI notetakers on Zoom, Teams and Google Meet from September 12, 2025, naming Fathom (as "Fanthom.video") (CWRU announcement).
- Google Meet's "safeguarded guest admit flow" (since March 2026) sends some guests to a second queue where the default is to deny.
- Microsoft Teams tags third-party bots in the lobby for separate admission (since May 2026).
A call the bot can't join has no Fathom notes, whatever plan you pay for. Bot-free capture avoids this, but only on a Mac: Fathom's help center says "Windows support for the new experience is coming soon", with no date.
Where Your Meetings Go on Each Fathom Plan
Paying Fathom more doesn't change where your meetings go. On every plan, recordings and transcripts sit in Fathom's US cloud, stay until you delete them, and train Fathom's own AI models on de-identified data by default.
Fathom states no plan-based difference on training. What the top tier buys you is Enterprise's auto-delete and a signed BAA.
| Question | Fathom (all plans) | Otter | Granola | Voibe Work |
|---|---|---|---|---|
| Does a bot join? | Yes by default; bot-free beta on Mac only | Bot, or bot-free desktop app (Mac, Windows) | No bot | No bot (Mac and Windows) |
| Where notes are stored | Fathom's cloud, United States | Otter's cloud | Granola's US-hosted AWS cloud | On your computer, not Voibe's servers |
| Retention | Indefinite until you delete; auto-delete Enterprise only | Custom retention via account manager | Indefinite unless a retention policy is set | Audio deleted as soon as processing completes; notes stay on your computer |
| Trains on your meetings? | Yes by default (de-identified); opt out in My Settings | Yes (de-identified); no opt-out found | Yes by default on Free and Business; opt-out | Never |
| Attestations | Fathom states SOC 2 Type II, GDPR, HIPAA; no ISO 27001; signed BAA Enterprise only | SOC 2 Type II; HIPAA Enterprise only | SOC 2 Type II; HIPAA + BAA Enterprise only | No certification claimed; BAA available on request |
Sources: Fathom's privacy policy ("Last Updated: August 16, 2026") and its "Is Fathom secure?" help article; Otter's pricing page and privacy policy (our breakdown: Is Otter safe?); Granola's pricing and security pages (see where Granola keeps your notes).
Voibe figures are from getvoibe.com/pricing. Everything was checked between September 26 and October 8, 2026.
Training: on by default, with an opt-out
Fathom's privacy policy says it "may use and create de-identified data generated from Meeting Content Information to improve our Service by training, improving, and customizing our in-house artificial intelligence models". It adds: "You can opt out from this use of your data in your account settings."
- Where the switch is: My Settings, per Fathom's help center.
- On Team plans: admins can opt out every user from Organization Settings.
- Sub-processors: Fathom says its AI sub-processors (Anthropic, OpenAI and Google) aren't contractually permitted to train on users' data.
New owner: Superhuman
Superhuman, the company formerly called Grammarly, acquired Fathom on September 14, 2026, per Superhuman's announcement. Fathom's own post says "Nothing changes today for Fathom users. Same app, same login, same product experience".
Two things to keep in mind. Fathom's privacy policy predates the deal and doesn't mention Superhuman. And we found no lawsuit naming Fathom as of October 8, 2026.
The full privacy breakdown is in Is Fathom safe?. The legal risk for bot-free tools generally is in our Granola lawsuit explainer.
Is Fathom Worth It? The 3-Year Cost of Each Plan
Fathom Free is worth it for almost anyone who takes a handful of calls a month and is fine with a bot and cloud storage. The paid plans earn their price for specific people:
- Premium ($192 a year): worth it if you want action items, follow-up emails and full summaries on every call, and you don't also pay for a dictation app.
- Team and Business: worth it for sales and customer teams that use shared playlists, scorecards and CRM field sync, the features Fathom built for them.
Users rate it highly. Fathom's Chrome extension holds 4.9 out of 5 on the Chrome Web Store from 1.7K ratings and 600,000 users.
Fathom also has a 5.0 out of 5 on Capterra from 809 reviews. Both were checked October 8, 2026.
What each plan costs over 3 years
| Plan | 1 year | 3 years | vs Voibe Work lifetime ($349) |
|---|---|---|---|
| Fathom Free | $0 | $0 | Voibe Work costs $349 more |
| Fathom Team (annual, per seat) | $180 | $540 | Voibe Work $191 (35.4%) less |
| Fathom Premium (annual) | $192 | $576 | Voibe Work $227 (39.4%) less |
| Fathom Premium (monthly) | $240 | $720 | Voibe Work $371 (51.5%) less |
| Fathom Business (annual, per seat) | $300 | $900 | Voibe Work $551 (61.2%) less |
| Fathom Premium + Wispr Flow Pro (annual) | $336 | $1,008 | Voibe Work $659 (65.4%) less |
Fathom's pricing page lists no lifetime or one-time plan, so its 3-year cost keeps climbing at the annual rate.
Voibe Work's $349 lifetime seat equals about 22 months of Fathom Premium on annual billing ($349 ÷ $16).
Where Fathom is the better buy
- You need $0. Fathom Free has no minute cap; Voibe has no free plan.
- You want a bot to record calls you don't attend. A bot can join without you; a no-bot tool records only from your computer.
- You record in person on an iPhone. Fathom's help center says its new iPhone app (released September 30, 2026, on every plan) records in-person conversations and needs an internet connection to upload. Voibe has no phone app.
- Your team lives in the CRM. Business's CRM field sync and scorecards have no Voibe equivalent.
Is There a Fathom Discount, Student Plan or Lifetime Deal?
Fathom has no public discount code, no student discount and no lifetime deal. Your built-in savings are annual billing (20.0% to 26.5% off) and three programs on Fathom's pricing page, checked October 8, 2026:
- Nonprofits: "Get 10 free seats for nonprofits", by application.
- Startups: the "Qualified Portfolio Program" gives "Affilliated startups of select VCs & accelerators" up to 2 years of Fathom Team free.
- Gong switchers: "Get Fathom Business free through your contract plus data migration."
The cheapest Fathom is still Free. Per person, the cheapest paid plan is Team at $15 a seat a month on annual billing, but the 2-seat minimum makes $360 a year the smallest Team invoice.
Buying for one? Premium at $192 a year is your cheapest paid option.
Free trial: Fathom's paid cards say "start free trial" without a length, and its help center refers to a Premium free preview that ends 30 days after sign-up.
Voibe Work's trial is 7 days of every feature, with no credit card and no automatic charge. If you buy, Voibe adds a 30-day money-back guarantee.
Fathom vs Voibe Work: What a Year Costs

Voibe Work costs $140 a year per seat. That's $52 (27.1%) less than Fathom Premium's $192, and it includes a dictation app.
Two honest caveats. Fathom Free beats both at $0. And on meeting notes alone, Voibe Work costs $40.04 (40.1%) more than Otter Pro at $99.96 a year.
The picture changes when you count the second subscription. Most people who want meeting notes also pay for a dictation app, such as Wispr Flow Pro at $144 a year, per Wispr Flow's pricing page.
Meeting notes only, per user per year (annual billing where offered, prices checked October 8, 2026)
- Otter Pro: $99.96 ($8.33 a month billed annually)
- Granola Business: $168 ($14 a month, billed monthly only)
- Fathom Premium: $192 ($16 a month billed annually)
- Otter Business: $239.88 ($19.99 a month billed annually)
- Voibe Work: $140, notes and dictation together
Meeting notes plus a dictation app (Wispr Flow Pro, $144 a year)
| Setup | Per year | Voibe Work ($140) is |
|---|---|---|
| Otter Pro + Wispr Flow Pro | $243.96 | $103.96 (42.6%) less |
| Granola Business + Wispr Flow Pro | $312 | $172 (55.1%) less |
| Fathom Premium + Wispr Flow Pro | $336 | $196 (58.3%) less |
| Fathom Team + Wispr Flow Pro (per seat) | $324 | $184 (56.8%) less |
| Otter Business + Wispr Flow Pro | $383.88 | $243.88 (63.5%) less |
| Fathom Business + Wispr Flow Pro (per seat) | $444 | $304 (68.5%) less |
| Fathom Free + Wispr Flow Pro | $144 | $4 (2.8%) less |
Monthly, 3-year and team maths
- Month to month: Voibe Work at $14 is $6 (30.0%) less than Fathom Premium at $20, $5 (26.3%) less than Team at $19 and $20 (58.8%) less than Business at $34. Against Premium plus Wispr Flow Pro on monthly billing ($35), it is $21 (60.0%) less.
- Per seat, annual: $40 (22.2%) less than Fathom Team ($180) and $160 (53.3%) less than Fathom Business ($300).
- 3 years: Voibe Work lifetime ($349) is $227 (39.4%) less than 3 years of Fathom Premium annual ($576) and $659 (65.4%) less than 3 years of Premium plus Wispr Flow Pro ($1,008).
- A team of 10, annual: Voibe Work costs $1,400. Fathom Premium for 10 people is $1,920 ($520 more), Team is $1,800 ($400 more) and Business is $3,000 ($1,600 more). A nonprofit approved for Fathom's 10 free seats pays $0 for those seats.
What the $140 buys, and what it doesn't
Here's what you get on Voibe Work:
- Capture with no bot: from your Mac or Windows PC in Zoom, Microsoft Teams, Google Meet, Webex, Slack huddles or any other meeting app. It also records in-person meetings through your Mac or PC's mic.
- Zero-retention processing: meeting audio is processed by open-source models on zero-retention cloud providers and deleted as soon as processing completes.
- Notes on your computer: the transcript and summary are saved on your computer, not on Voibe's servers, and never used to train AI.
- Tools for the notes: summary templates for each type of meeting, chat with your meetings, and one-click copy and PDF export.
- Voibe Dictation, included: on Mac and Windows, on-device on Apple Silicon Macs or in the same zero-retention cloud, with a custom Dictionary, Memory shortcuts and Developer Mode for Cursor, VS Code and Windsurf.
Meeting notes need an internet connection. At the start of each recording, Voibe reminds you to tell everyone you're taking notes; following recording-consent rules is your responsibility.
What Voibe Work doesn't have: a free plan, a phone app, a bot for calls you don't attend, or CRM sync. If those matter more than where your notes live, Fathom is the better fit.
The launch details are in Voibe Work: meeting notes with no bot, and the bot-free field is ranked in best no-bot meeting note takers.
Which Fathom Plan Should You Pick?
Your Fathom plan comes down to three things: how many calls you take, whether you work alone, and whether a bot and cloud storage are OK for your calls. Four questions get you there.
1. Do you take more than 5 calls a month that need full AI summaries?
- No → Fathom Free ($0). Unlimited recordings and transcripts, advanced summaries on 5 calls a month.
- Yes → question 2.
2. Are you buying for one person?
- Yes → Fathom Premium ($192 a year, or $20 a month). Team and Business need 2 seats.
- No, a team → question 3.
3. Does every rep need meetings synced into CRM fields?
- Yes → Fathom Business ($25 a seat a month annual, $600 a year minimum). Team caps CRM sync at 3 users per domain.
- No → Fathom Team ($15 a seat a month annual, $360 a year minimum).
- You need SSO, a signed BAA or auto-delete → Fathom Enterprise (custom quote).
4. Should a bot or a vendor cloud be anywhere near these calls?
- Fine either way → stay with the Fathom plan above.
- No bot, notes kept off vendor servers, and you also dictate → Voibe Work ($140 a year, $14 a month or $349 lifetime, Mac and Windows). Voibe reminds you to tell everyone you're taking notes; consent rules are yours to follow.
- No bot, but you want it free → see the free options in Fathom alternatives.

Fathom Pricing FAQ
Quick answers on Fathom's plans, the free plan, billing and privacy, grouped by theme.
Plans and prices
How much is Fathom per month? Fathom Premium is $20 a month billed monthly, or $16 a month billed annually ($192 a year), per Fathom's pricing page checked October 8, 2026.
Team is $19 a seat a month ($15 annual) and Business is $34 ($25 annual), both with a 2-seat minimum. Fathom Free is $0, and Enterprise is a custom quote.
How much is Fathom Team pricing? Fathom Team is $19 per user per month, or $15 billed annually ($180 a seat a year), with a 2-user minimum. So the smallest Team purchase is $360 a year on annual billing, or $38 a month on monthly billing. Team adds shared search, playlists, comments, folders and keyword alerts.
How much is Fathom Business? Fathom Business is $34 per user per month, or $25 billed annually ($300 a seat a year), with a 2-user minimum, so the smallest purchase is $600 a year. It's the first tier with CRM field sync and unlimited CRM syncs, plus Deal View, coaching metrics and AI scorecards.
How much does Fathom's annual plan save? Less than the toggle says. Fathom promises "save 25%+", but the real annual discounts are 20.0% on Premium ($240 down to $192 a year), 21.1% on Team ($228 down to $180 a seat) and 26.5% on Business ($408 down to $300 a seat). Only Business clears 25%.
Free plan and billing
Is Fathom free? Yes, and it's free forever. Fathom Free gives you unlimited recordings, unlimited transcriptions in 38 languages and unlimited storage. The catch: advanced AI summaries cover only your first 5 calls each month, then you get the General/Enhanced template. AI action items, AI follow-up emails, custom summaries and full Ask Fathom are Premium features.
Does Fathom offer refunds? It's unclear. Fathom's pricing page shows a "90 day guarantee" on paid plans, but its Terms of Service (last updated March 4, 2026) say "All fees are non-refundable" and subscriptions renew automatically. Get the guarantee's terms from Fathom in writing before you pay.
Does Fathom have a student discount or lifetime deal? No. Fathom lists no student discount and no lifetime plan. It does offer 10 free seats to nonprofits, up to 2 years of Team free for startups backed by select VCs and accelerators, and Business free through the contract for teams switching from Gong.
Privacy and platforms
Does Fathom train AI on my meetings? Yes, by default, on every plan. Fathom's privacy policy says it may use de-identified data from your meetings to train its in-house AI models.
You can opt out in My Settings, and Team admins can opt out the whole organization. Fathom says its AI sub-processors (Anthropic, OpenAI and Google) may not train on users' data.
Does Fathom work without a bot on Windows? Not yet. Fathom's bot-free capture is a beta on every plan, Free included, but only on Mac.
Fathom's help center says Windows support is coming soon, with no date. On Windows, Fathom records through a bot that joins the call. For the full privacy picture, see Is Fathom safe?
Which Fathom plan includes a signed HIPAA BAA? Only Enterprise. Fathom's terms incorporate a click-through Business Associate Agreement for customers covered by HIPAA, but its pricing table ticks "HIPAA: signed BAA" on Enterprise only. Automatic data retention (auto-delete) and SSO with SCIM are Enterprise-only too.
Who owns Fathom? Superhuman, the company formerly called Grammarly, acquired Fathom on September 14, 2026. Fathom's announcement says nothing changes for users today: same app, same login and same product experience. Fathom's privacy policy, last updated August 16, 2026, doesn't mention Superhuman.
Alternatives
Is Fathom cheaper than Otter? Not on paid plans. Fathom Premium is $192 a year and Otter Pro is $99.96 a year on annual billing, so Otter Pro is $92.04 cheaper. But Fathom Free is more generous than Otter's free Basic plan, which caps transcription at 300 minutes a month and 30 minutes per conversation.
Is Fathom cheaper than Voibe Work? Fathom Free is: it's $0, and Voibe has no free plan (just a 7-day trial with no credit card). Every paid Fathom plan costs more per seat.
Voibe Work's $140 a year is $52 (27.1%) less than Fathom Premium, $40 (22.2%) less than Team and $160 (53.3%) less than Business, and it includes a dictation app.
Fathom Premium plus Wispr Flow Pro is $336 a year, $196 (58.3%) more than Voibe Work.
What is a cheaper alternative to Fathom Premium? Voibe Work is $140 a year, $52 (27.1%) less than Fathom Premium, and it includes a dictation app for Mac and Windows.
It captures meetings with no bot, deletes the audio after processing and saves notes on your computer. Voibe reminds you to tell everyone you're taking notes; following consent rules is up to you. Fathom Free is still the cheapest option at $0.

Final Verdict: Is Fathom's Pricing Fair in 2026?
Fathom's free plan is one of the best deals in meeting notes, and its paid plans are fairly priced for the sales teams they're built for. Unlimited recordings, transcripts and storage for $0 is hard to beat.
The 5-call limit on advanced summaries is a fair line to draw. And Premium at $192 a year is reasonable if you want AI follow-ups on every call.
The details are where it slips:
- The "save 25%+" toggle overstates the discount on two of three paid plans.
- The 2-seat minimum turns Team into a $360 purchase.
- The "90 day guarantee" sits next to terms that say fees are non-refundable.
- Auto-delete and a signed BAA wait at Enterprise.
And on every plan, a bot joins by default, your notes live in Fathom's US cloud, and training on de-identified data stays on until you switch it off.
If those last three matter for your calls, look at Voibe Work. It's $140 a year: $52 (27.1%) less than Premium, and $196 (58.3%) less than Premium plus a Wispr Flow Pro dictation subscription.
No bot joins, the audio is deleted after processing, and your notes are saved on your computer. Voibe reminds you to tell everyone you're taking notes; recording-consent rules are yours to follow. For the Otter side of the same maths, see Otter AI pricing.
